Administrative Assistant


We are seeking an organized and proactive Administrative Assistant to join our organization. You will support our office with clerical duties, including answering phones, making copies, and organizing files. When necessary, you will also input information into our database to ensure our electronic files are updated. We prefer candidates who have some administrative support experience, but we are willing to train the right person.

Duties and Responsibilities:

  • Support office staff and executives with clerical tasks
  • Answer phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Plan and schedule meetings, presentations, other office-related events, and travel arrangements; send reminders regarding upcoming events/meetings
  • Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Write and edit documents from letters to reports and instructional documents
  • Help prepare presentation materials including social media posts (Instagram, TikTok, Facebook, etc.)
  • Monitor and maintain office equipment and supplies; request repair or restocking when necessary
  • Ensure office is kept clean and organized at all times

Requirements and Qualifications:

  • High school diploma or GED certificate
  • 2-3 years of clerical, office, and/or administrative assistant a plus
  • Proficient with Microsoft Suite and common office equipment
  • Strong proficiency using Excel is highly desired
  • Strong verbal and written communication skills
  • Comfortable with routinely shifting demands
  • High degree of attention to detail
  • Self-starter who works well independently
  • Professional demeanor

Physical Requirements:

· Prolonged periods sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at times.
